Terms of Service
Last updated: March 2026
These terms govern your use of Bloom (trybloom.co.uk), a practice management platform operated by Bloom Practice Ltd ("Bloom", "we", "us", "our"), registered in England and Wales (Company No. 17092851), with registered office at 128 City Road, London, EC1V 2NX.
By creating an account or using Bloom, you agree to these terms. If you do not agree, please do not use the platform.
1. What Bloom is
Bloom is a practice management tool for therapists and counsellors. It provides scheduling, client management, session notes, payment tracking, document signing, appointment reminders, and a public booking page.
Bloom is a software tool, not a healthcare provider. We do not provide therapy, counselling, medical advice, or any clinical services. The therapeutic relationship is solely between the practitioner and their client.
2. Your account
To use Bloom, you must create an account with a valid email address and password. You are responsible for keeping your login credentials secure. If you believe your account has been compromised, contact us immediately at hello@trybloom.co.uk.
You must be at least 18 years old to create a Bloom account. You must provide accurate information when signing up and keep it up to date.
3. What you can do with Bloom
As a practitioner, you can use Bloom to:
- Manage your appointment calendar
- Store client contact details and records
- Write and store encrypted session notes
- Send and collect signed counselling agreements
- Track payments and send payment reminders
- Share a public booking page with clients
- Send automated email reminders
4. What you are responsible for
As a practitioner using Bloom, you are responsible for:
- The content of your session notes and client records
- Obtaining appropriate consent from your clients for data processing
- Complying with your professional body's ethical and record-keeping requirements
- Ensuring your counselling agreement is appropriate for your practice
- Managing your data retention in line with professional guidance
- Your compliance with UK GDPR as a data controller for your client records
- The accuracy of your fees, availability, and booking page information
Bloom acts as a data processor on your behalf for client data. You remain the data controller. We process client data only as instructed by you through your use of the platform.
5. Session notes and encryption
Session notes are encrypted with AES-256 before storage. We cannot read or access your session notes. You are solely responsible for the content of your notes. If you lose access to your account, we cannot recover the content of encrypted notes beyond what is stored in your account.
6. Payments
Bloom's payment tracking feature allows you to record payments as received and send payment reminders. For card payments, Bloom integrates with Stripe Connect. Stripe's terms of service apply to all card transactions. Bloom does not hold or process card details directly.
Bloom charges a subscription fee of £29 per month per practitioner. Fees are billed monthly. You can cancel at any time from your account settings. No refunds are issued for partial months.
We may change our pricing with 30 days' notice by email. Price changes will not affect your current billing period.
7. Cancellation
You can cancel your Bloom subscription at any time from your settings. On cancellation:
- Your account remains accessible until the end of your current billing period
- After that, your account enters a 30-day grace period during which you can export your data or reactivate
- After 30 days, your account and all associated data will be permanently deleted
If you want to export your data before deletion, contact us at hello@trybloom.co.uk.
8. Acceptable use
You must not use Bloom to:
- Store or process data that is unrelated to your therapy practice
- Attempt to access other practitioners' accounts or data
- Interfere with or disrupt the platform's operation
- Use the platform for any illegal purpose
- Reverse engineer, decompile, or attempt to extract the source code
- Resell or redistribute access to Bloom without our permission
9. Availability and support
We aim to keep Bloom available and running smoothly, but we do not guarantee 100% uptime. We may need to take the platform offline for maintenance, updates, or unexpected issues.
Support is available via email at hello@trybloom.co.uk. We aim to respond within one working day.
10. Intellectual property
Bloom and its design, features, and code are owned by Bloom Practice Ltd. Your data (client records, notes, documents) remains yours. We do not claim any ownership of your data.
You grant us a limited licence to process, store, and transmit your data solely for the purpose of providing the Bloom service.
11. Liability
To the extent permitted by law:
- Bloom is provided "as is" without warranties of any kind
- We are not liable for any loss or damage arising from your use of the platform, including loss of data, loss of revenue, or business interruption
- Our total liability to you in any 12-month period shall not exceed the total fees you have paid to us in that period
- We are not responsible for the actions, decisions, or conduct of practitioners or clients using the platform
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.
12. Changes to these terms
We may update these terms from time to time. We will notify you of significant changes by email at least 14 days before they take effect. Continued use of Bloom after changes take effect constitutes acceptance of the updated terms.
